A trust is only as manageable as its records. The document may establish the framework, but administration depends on knowing what property is involved, who has authority, what obligations exist, and where the supporting records are kept.
Create the core trust file
Keep the signed trust instrument and amendments, schedules of property, deeds, titles, account records, tax identification information, beneficiary information, trustee acceptance documents, insurance records, and important correspondence together.
Track changes over time
Maintain a dated log of property transferred into or out of the trust, major expenses, distributions, notices, account changes, and significant decisions. A clean administrative record reduces confusion when questions arise later.
